Create and Edit a Quote

Create a quote

  1. Open Quotes from the left menu.
  2. Choose a customer you can access.
  3. Select Create a Quote.
  4. Enter the quote details.
  5. Save the quote. The first save creates version 1.

New quotes receive a quote number based on your company’s numbering settings. The expiration date defaults to 30 days from the date the quote is created, and the owner defaults to the person creating the quote.

Quote details

A quote can include:

  • A title, expiration date, client contact name, and contact email
  • Line-item descriptions, quantities, and unit prices
  • Recurring and taxable indicators
  • Discounts and tax
  • An optional payment schedule
  • Terms and conditions
  • Notes shown to the client
  • Internal notes visible only to your staff

A contact email is required before the quote can be sent, but it is not required when you first create the quote.

Assign or change the owner

The owner is the employee responsible for the quote. The Owner list includes employees who have both Quotes access and access to the selected customer.

Changing the owner on an existing quote saves immediately. You do not need to select Update or create a new version. This also means that using Reset for other form changes will not undo an owner change that has already been saved.

An owner marked with an asterisk is no longer eligible, usually because the employee lost Quotes access, customer access, or active status. You may keep that owner after acknowledging the warning, or select another eligible owner.

Save edits

  • Select Update to save changes to an unsent, editable version.
  • Select Reset to discard unsaved changes to the version.
  • If the version has already been sent or decided, use Save as new version instead.
  • Older versions and archived quotes are read-only.

Although fields remain available on the latest sent version so you can prepare changes, Update is disabled. Use Save as new version to store those changes.

Save internal notes

Internal Notes are visible only to staff and do not save automatically when you leave the field.

  • Select Save Note to save the current note.
  • Select Reset to restore the last saved note.
  • Notes can be saved separately even when the quote version has been sent and is locked.

Add a payment schedule

Turn on Enable Payment Terms to add a payment schedule.

  1. Choose a payment-term type for every row.
  2. Enter a percentage or amount for each payment.
  3. Add or remove rows as needed.
  4. Make sure the scheduled amounts equal the quote total after discount and tax.
  5. Save the quote.

The form does not automatically rebalance other rows while you type. If the schedule does not equal the quote total when you save, you can let Timesheets.com correct the schedule or return to the form and edit it manually. Sending is blocked until the schedule is balanced and every row has a payment-term type.

Turning off Enable Payment Terms hides the schedule. If you save while it is off, the saved payment schedule is removed from that version.
