Quotes is a company-enabled feature for creating and managing client proposals. Before employees can create quotes, an administrator must enable the feature and grant access to the appropriate users.
Enable Quotes for your company
- Open Company Settings.
- Select Features.
- Enable Quotes.
When Quotes is enabled, the Quotes item appears in the left menu. Quotes is currently identified as a beta feature.
Give employees access to Quotes
The primary account user can choose which employees have access:
- Open Company Settings.
- Select Security.
- Open Quotes, then select the Access tab.
- Select the employees who should be able to use Quotes and save your changes.
An employee must also have access to a customer before they can create or manage quotes for that customer.
Configure quote numbers
- Go to Company Settings > Security > Quotes.
- Open the Settings tab.
- Set the starting sequence, number padding, prefix, and date or time format.
- Review the live sample, then save.
Set default legal terms
Open the Quotes dashboard and select Default Legal Terms to maintain reusable terms and conditions. These terms can be added to new quotes and edited for a specific quote when needed.
Allow an employee to act for a client
By default, employees cannot accept, reject, or request a revision on behalf of a client. To grant this permission:
- Open the employee’s settings.
- Select Extended Security.
- Set Allow user to accept, reject, or request revision on quotes on behalf of the client? to Yes.
- Save the employee’s settings.
This setting appears only when Quotes is enabled and the employee already has Quotes access.
Customer access and archived customers
- Users can see and manage quotes only for customers they can access.
- Archiving a customer does not archive or freeze that customer’s quotes.
- To create a quote for an archived customer, turn on Show Archived Customers when choosing a customer on the Quotes dashboard.
- A customer that has any quotes cannot be deleted. Archive the customer instead.
What Quotes does not do
Accepting a quote records the client’s decision, but it does not automatically create a project, job, or invoice.
